Reporting Guide

Operational reporting best practices

Turn daily execution data into decisions that improve staffing, service quality, and margin stability.

1) Track operational KPIs before financial vanity metrics

  • • Occupancy by unit type and day
  • • Check-in/check-out throughput
  • • Training session completion rate
  • • Open incident count and resolution lag

2) Use three reporting cadences

  • • Daily: shift health and immediate bottlenecks
  • • Weekly: staffing, utilization, and process drift
  • • Monthly: service mix, margin pressure, and growth planning

3) Make every report actionable

Every report should answer: What changed? Why? What action do we take this week?

  • • Assign owner and due date for corrective actions
  • • Track unresolved actions in next review
  • • Record impact after change (before vs after)

Reporting anti-pattern to avoid

If teams spend more time building reports than using them to improve execution, reporting has become overhead. Keep metrics focused and tied to decisions.
